Pick your system

The Connect an EHR screen lists every system the AI can use for live calls. Choose HealOS Scheduling if you have no EHR and want HealOS to act as your calendar.

Connect

Click Connect and follow the steps the dialog shows for your system. Each EHR has its own short connection flow; the screen walks you through it.
A dedicated HealOS user in your EHR keeps the connection stable when staff change their own passwords.

Choose what the AI may do

Under AI Actions in the EHR, tick the allowed actions. Unsupported ones for your EHR are marked.

Set booking defaults and provider routing

  • Booking defaults: default provider, appointment type, and Appointment duration used when the caller does not specify.
  • Provider routing: one row per category, with the provider, the appointment type, and the phrases callers use (“new patient”, “physical therapy”, “Dr. Chen”). New-patient and follow-up visits usually need separate rows.

Set provider office hours

Working days and hours per provider.
These must match the EHR. If HealOS says Wednesday 2–5 and the EHR says 1–5, patients hear “not available” for real openings, or a booking lands where the provider is not working.

Benefit Verification

Off by default. When on, the AI checks insurance eligibility before booking. Turn on Offer self-pay when coverage can’t be verified so a failed check does not end the call without a booking.

How the AI identifies a patient

The AI confirms the caller’s name and date of birth, then looks them up in your EHR. Returning patients are matched to their existing chart; new callers are registered if Create Patient Record is on.
When a lookup fails it is almost always a spelling or DOB mismatch. The AI asks callers to spell their last name and reads the DOB back. A nickname on file (“Bill” vs “William”) can still cause a miss.

Disconnecting

Disconnect stops all EHR actions immediately. Booking defaults are kept for when you reconnect.
